Terms and conditions
1. Parties and purpose
EstateSuite is a brand of CODELABS STUDIO, S.L., tax ID (NIF) B88708797, with registered office at Pasaje Federico García Lorca, 6, 3º E, 29130 Alhaurín de la Torre (Málaga), España, registered in the Commercial Registry of Málaga (Registro Mercantil de Málaga), sheet MA-198508, 1st entry.
These terms govern the subscription to and use of EstateSuite between CODELABS STUDIO, S.L. ("we") and the business that subscribes to it ("the client"). Last updated: 2026-10-31. This is a translation; if there is any discrepancy, the Spanish version prevails.
EstateSuite gives estate agencies a website with their property portfolio, synchronisation of that portfolio with their CRM through a feed, an artificial intelligence assistant that answers by phone, from the website and by chat, searches the agency's portfolio, proposes or books viewings in its calendar and leaves every contact in the dashboard, and alerts to people who asked to be called when a property matching their search comes in.
2. Who it is for
EstateSuite is a service for businesses and professionals, who subscribe to it for their trade. If you subscribe as a consumer, you keep all the rights granted to you by Spanish consumer law (Texto Refundido de la Ley General para la Defensa de los Consumidores y Usuarios), including the right to withdraw from the contract within 14 calendar days of entering into it without giving any reason.
3. Subscribing and onboarding
Subscribing starts with a demo or a contact request. Once the conditions are agreed, the client's account is created in the Codelabs sign-in system and we link that account to its business manually, so that nobody can see another business's data because of a sign-up error.
Setup includes configuring the assistant, the phone number and the connection to the tools the client already uses, according to the plan.
4. Price and payment
- Prices are those published on estatesuite.pro at the time of subscribing or those in the accepted proposal, and exclude VAT.
- Setup is paid once, when subscribing.
- The fee can be paid yearly, in a single annual charge, or month by month, at the monthly amount shown on the pricing page.
- Pioneer price: whoever subscribes within the window announced on the pricing page keeps their fee for as long as they stay subscribed. If they cancel and come back later, they join at the rate in force at that time, and a change of plan is quoted at the current rate of the new plan.
- We do not store your full card details.
5. Term and cancellation
There is no minimum term. The client can cancel at any time by writing to hallo@estatesuite.pro; cancellation takes effect at the end of the billing period already paid. During the 30 days after cancelling, the client can ask us for a copy of its data.
The client can also cancel, and each person can delete their user account, from “Your account” in the panel. We analyse how the service is used to understand what fails and what we do not explain well. What we analyse, on what basis and how to object is set out in the privacy policy (section 7); that analysis involves no automated decisions with effects on you. Controller: Codelabs Studio, S.L., PASAJE Federico García Lorca, 6, 3º E, 29130 Alhaurín de la Torre (Málaga), Spain.
We may suspend or terminate the service if the client uses it unlawfully or to the detriment of others, or stops paying, giving notice beforehand unless the seriousness of the case prevents it.
6. How the assistant works and its limits
- The assistant introduces itself as artificial intelligence and says that the call is recorded. The client can listen to every call in its dashboard.
- The assistant answers with the data the client gives it (portfolio, services, prices, opening hours, availability). If that data is not up to date, neither will the assistant be.
- It is an artificial intelligence system and can make mistakes or misunderstand a person. It does not negotiate prices or close deals: whatever it leaves as a proposal or request is confirmed by the client.
- Outbound calls to people who asked for an alert are only made if the client switches them on, within the configured time window and after checking the Robinson list.
7. Demo mode
Before subscribing we may prepare a demo for the client with an example dashboard and assistant, accessed through a personal link that expires and that we can revoke at any time. In that mode alert calls are simulated and no number is dialled, and the emails generated by the platform are not sent to their recipients. A demo is not a subscription and gives no right to keep the service.
8. Client obligations
- Using the service in accordance with the law and these terms, and not using it to send unsolicited commercial communications.
- Informing its own customers of how it processes their data, on its website and channels, including that their calls may be answered by an artificial intelligence assistant and recorded.
- Keeping its login credentials safe and giving dashboard access only to the members of its team who need it.
- Displaying your estate agent registration number where your Spanish region requires it (for example Catalonia or the Valencian Community): the website shows it if you enter it in the platform.
- Keeping your portfolio up to date (price, availability, energy certificate) and confirming yourself the viewings the assistant leaves as proposals.
- Stating in your listings when an image carries virtual staging or has been generated or retouched with artificial intelligence, so that buyers are not misled.
9. Data protection: processing agreement
With regard to the data of the client's customers, the client is the controller and CODELABS STUDIO, S.L. the processor, under Article 28 GDPR. In particular, we undertake to:
- Process the data only to provide the service and following the client's documented instructions.
- Ensure that the people authorised to process it are bound by confidentiality.
- Apply appropriate technical and organisational measures to protect the data.
- Use only the sub-processors listed in the privacy policy, under contracts that impose the same obligations on them, and inform the client of any change so that it can object.
- Help the client respond to data subjects' requests and meet its obligations on security, breach notification and impact assessment.
- When the service ends, delete or return the data, at the client's choice, unless a law requires it to be kept.
- Make available to the client the information needed to demonstrate compliance with these obligations.
The data we process as controller is governed by the privacy policy.
10. Intellectual property
The platform, the software and the EstateSuite brand belong to CODELABS STUDIO, S.L.. The client keeps ownership of its content (texts, photos, portfolio, service menu) and grants us a licence to host, display and adapt it only as far as needed to provide the service.
11. Availability and liability
We work to keep the service continuously available, but there may be interruptions for maintenance, failures of telephony or artificial intelligence providers, or causes beyond our control.
Except in cases of wilful misconduct or gross negligence, and without prejudice to the rights the law grants consumers, our liability to the client is limited to the amount the client has paid for the service in the twelve months before the event giving rise to it, and does not extend to loss of profit or indirect damage.
12. Changes to these terms
If we change these terms in a meaningful way, we will notify clients by email at least 30 days in advance. If the client does not agree, it can cancel before the change takes effect.
13. Governing law and jurisdiction
These terms are governed by Spanish law. If you are a business or professional, the parties submit to the courts of Málaga (Spain), where Codelabs Studio S.L. has its registered office, waiving any other forum that might apply. If you are a consumer, the courts determined by mandatory consumer law will have jurisdiction (generally those of your place of residence) and, where the law allows, also those of Málaga; this does not limit any right that consumer law grants you.
